Terms, Booking Conditions & Usage Policy

Please review these conditions before confirming your booking. They apply to every guest and every session at The Blackwood Studios.

By confirming a booking, the customer acknowledges that they have read, understood, and agreed to these Terms, Booking Conditions & Usage Policy.

1. Booking Confirmation

  • Bookings are confirmed only after The Blackwood Studios receives successful payment or the applicable advance payment communicated by the studio.
  • Confirmation may be sent by WhatsApp, email, SMS, or another official Blackwood Studios communication channel.
  • The person making the booking is the primary customer and is responsible for all accompanying guests, invitees, children, vendors, and participants.
  • Management may reject, cancel, or refuse a booking request that could adversely affect operations, safety, legal compliance, reputation, or guest experience.

2. Studio Usage

  • The Blackwood Studios is a private premium cinema, media-experience, and content-creation facility.
  • Customers book access to the facility, seating, equipment, and infrastructure.
  • The Blackwood Studios does not sell, distribute, publicly exhibit, or provide copyrighted content.
  • Guests are responsible for ensuring that content viewed, streamed, played, recorded, or presented is legally obtained and properly licensed.
  • Management may prohibit activity that violates copyright, intellectual-property rights, public-decency standards, or applicable regulations.

3. Session Timings

  • Standard bookings are allocated in predefined time slots. The booked duration includes setup, viewing or studio use, breaks, refreshments, and exit time.
  • Guests should arrive at least 15 minutes before the session begins. Late arrival does not extend the booking period.
  • On request, the technical team may pause content playback for a mutually agreed duration.
  • Guest-requested breaks, pauses, intermissions, refreshment stops, and interruptions form part of the booked duration, including within a three-hour slot.
  • Breaks do not entitle guests to an extension beyond the scheduled end time. Guests should select content that can reasonably be completed within their booked duration.

4. Time Slot Schedule & Cleaning Interval Policy

Slot 1: 9:30 AM - 12:30 PM

Cleaning interval: 12:30 PM - 1:00 PM

Slot 2: 1:00 PM - 4:00 PM

Cleaning interval: 4:00 PM - 4:30 PM

Slot 3: 4:30 PM - 7:30 PM

Cleaning interval: 7:30 PM - 8:00 PM

Slot 4: 8:00 PM - 11:00 PM

  • A mandatory 30-minute cleaning and reset interval is maintained between sessions for sanitization, inspection, housekeeping, and operational readiness.
  • Guests must vacate the premises at their scheduled slot end time.
  • The Blackwood Studios may modify operating hours where required.

5. Consecutive Slot & Full-Day Booking Policy

  • Guests who book two or more consecutive slots receive uninterrupted access during the intervening cleaning interval as a complimentary convenience.
  • The complimentary interval is not additional chargeable booking time.
  • Full-day bookings include cleaning intervals and provide uninterrupted access from opening to closing hours.
  • Management may perform essential maintenance and safety inspections during complimentary intervals.

6. Cancellation Policy

  • More than 7 days before booking: 90% refund; 10% administrative fee retained.
  • 3-7 days before booking: 50% refund.
  • Less than 72 hours before booking: no refund.
  • No-show: no refund; the booking is deemed completed.

7. Date Change / Rescheduling Policy

  • More than 72 hours before booking: one complimentary date change is permitted.
  • Within 72 hours: subject to management approval; a Rs. 1,000 rescheduling fee may apply.
  • Within 24 hours: date changes are not permitted.
  • Once rescheduled, a booking becomes non-refundable.

8. Refund Processing

  • Approved refunds are processed within 7-14 working days.
  • Refunds are processed through the original payment method wherever possible.
  • Applicable payment-gateway charges, banking charges, and taxes may be deducted.

9. Guest Capacity

  • Maximum occupancy is 10 people, including the booking holder.
  • Additional guests may be denied entry. Management may enforce occupancy limits at all times.

10. Food & Beverage Policy

  • Outside food and beverages are strictly prohibited.
  • Swiggy, Zomato, and other third-party food deliveries are not permitted unless specifically approved.
  • The Blackwood Studios provides an in-house food and beverage menu, and guests may order through that menu.
  • Infant milk powder, baby food, milk for children, prescription medication, and medically necessary consumables may be brought only after management is informed in advance.
  • Additional food requirements should be communicated before the booking date. Guests are responsible for damage caused by food spills or improper waste disposal.

11. Children & Supervision Policy

  • Parents and guardians must supervise children at all times.
  • Children must not enter areas near the projection screen, speakers, equipment racks, projector systems, acoustic panels, or other technical areas.
  • The booking holder is responsible for any damage caused by children.
  • Parents should use discretion regarding content suitability, viewing duration, and audio levels for young children.

12. Damage to Property

  • Guests are responsible for damage to furniture, acoustic treatments, audio equipment, projection systems, screens, interiors, decor, seating, carpets, fixtures, or other studio property.
  • Repair and replacement costs are recoverable from the booking holder.

13. Content Usage & Customer Media

  • Guests may provide content using pen drives, hard drives, SSDs, laptops, or other storage devices.
  • The Blackwood Studios is not responsible for privacy breaches, data leaks, malware, file corruption, unauthorized access, data loss, or content-related issues arising from customer devices.
  • Guests remain responsible for all data stored on their devices.

14. Content Creation Activities

  • Content creators must ensure their content complies with applicable laws.
  • Content must not infringe copyright, trademarks, privacy rights, publicity rights, or other intellectual-property rights.
  • Guests must obtain permits, licences, and permissions required for their activities.

15. Safety & Conduct

  • Smoking, vaping, narcotics, illegal substances, fireworks, hazardous materials, and weapons are strictly prohibited.
  • Alcohol consumption and entry under the influence of alcohol or intoxicating substances are not permitted.
  • Footwear is not allowed in the theatre room. Guests must remove shoes, sandals, and slippers before entering; a shoe rack is provided outside.
  • Guests must dispose of waste responsibly and maintain cleanliness.
  • Management may terminate a session without refund in the event of misconduct.

16. CCTV Surveillance & Privacy

  • CCTV operates in the lobby, entrance areas, common circulation areas, and cine lounge for safety and security.
  • Cameras are not installed in washrooms or other areas where privacy is reasonably expected.
  • Footage may be reviewed for incident investigation, legal compliance, or security purposes.

17. Lift Failure, Power Failure & Access Policy

  • In the event of lift failure, guests may use the staircase.
  • If lift failure significantly impacts accessibility, customers may choose to reschedule or request a full refund.
  • If a power failure prevents normal operation, customers may choose an alternate date or a full refund.
  • Eligible refunds under this clause are processed within two business days.

18. Parking Policy

  • Dedicated parking is not currently available. Guests may use available common parking spaces or legal roadside parking.
  • Parking availability is not guaranteed, and valet service is not available.
  • The Blackwood Studios is not responsible for vehicle damage, theft, towing, or fines.

19. Personal Belongings & Theft

  • Guests are responsible for their belongings. Management is not liable for loss, theft, or damage.
  • CCTV footage may be reviewed when an incident is reported.

20. Birthday Celebrations & Special Events

  • Birthday celebrations must follow The Blackwood Studios theme and guidelines. The facility is designed for premium cinema and media experiences, not as a party venue.
  • Cake cutting may be allowed in designated areas over a protective floor covering.
  • Customer-supplied cakes must be delivered at least 30 minutes before the booking slot.
  • Cake smashing, cake spanking, confetti, glitter, foam sprays, littering, and similar activities are strictly prohibited.
  • Additional cleaning or repair charges may apply.

21. Force Majeure

  • The Blackwood Studios is not liable for interruptions beyond reasonable control, including natural disasters, government actions, internet outages, civil disturbances, utility failures, and other force majeure events.

22. Limitation of Liability

  • Guests use the facility at their own risk. Any liability is limited to the booking amount paid for the affected session.

23. Customer Communication & CRM Assistance

  • Following booking confirmation, a Customer Relationship Manager may contact customers by phone, WhatsApp, SMS, or email.
  • The CRM may assist with scheduling, food orders, special requirements, content planning, and general booking support.

24. Right of Refusal

  • The Blackwood Studios may refuse, cancel, or terminate any booking that could adversely affect safety, operations, reputation, legal compliance, equipment integrity, or guest experience.
